Key Dates and Deadlines
This year, choose from two campaign start dates across August and September. See their deadlines for submitting your book of business and confirming opt-ins.
Campaign Start Date: The date that the first email is sent to your clients. For those who opted into the campaign last year or that opt-in this year but do not configure a date, the default date is August 25th.
Book of Business (Contacts) Upload Deadline: The final date to upload your book of business/contacts to Spark to participate in this campaign option. If you have not uploaded your book of business to Spark, you can do so HERE.
Configuration Deadline: The final date to configure your survey to participate in this campaign option. Configuration will be live in your Spark account on July 17.

How to Opt In and Set Up Your Retention Campaign
Update your Marketing Profile in your Spark account HERE. Your Spark marketing profile will be used to add the branding and contact information to your emails and postcards.

For agents onboarding to the Spark platform, upload your book of business to your Spark account HERE.
Opt in and configure your retention campaign.
NOTE: Field agents have access to the client retention tools located in the Back Office by default. However, if you are an LOA agent, access to the client retention tools is managed by the Agency Principal. If you do not see the Client Retention section in your Back Office, reach out to your Agency Principal. Agency Principals may enable client retention tools, including the AEP Retention Campaign, for their LOAs through the LOA Settings page located in the Back Office of their LOA view.
Additional Best Practices
Mark your calendars.
Once you have signed up and selected a start date, mark your calendars for each of the touchpoints in the campaign. You should expect some follow-up from your clients after emails and postcards are sent.
Give your clients a heads up.
For best results, send a note to your clients and let them know to expect an email (and postcard if you opted to include these in the campaign) in September, asking them for an update on their health needs.
Review your contact data for updates and opt-outs.
See your Active Clients list in Spark HERE. The clients in this list will be eligible to receive retention campaigns, given that they have:
An active Medicare policy added to their Spark contact record
A home or mailing address (to receive postcards if you elected to include these in your campaign)
An email address (to receive email campaigns)

Engagements
We’re excited to offer multiple campaign start dates this year. Starting Friday, July 17, you’ll be able to choose your start date in your Spark account HERE. If you do not configure a date, and were opted in last year, the default start date is August 25.
Spark will send three emails to your clients with the option to include a postcard as a part of the first touchpoint, should you select to include postcards in your campaign. If a client completes the form, we will remove them from subsequent emails.

Each contact record gets its own unique needs assessment. If Jane and John share an email, they'll receive two separate emails — one addressed to "Jane," one to "John" — each surfacing only that person's own data.

The campaign delivers to whatever email address is on the contact record. Some agents put the DPOA's email in the primary email field as the workaround.

Opt-in happens in bulk (you turn the campaign on for your book). Opt-outs, however, are managed individually per contact.

No. Each LOA agent must complete setup individually. Agency Principals of LOAs can enable/disable access to the client retention feature for their agents via the LOA Settings page in the Back Office of their LOA view, but each agent still configures their own campaign.

No. Each needs-assessment link is unique per contact record and pulls that person's specific data. The link for a given contact can be found in their contact history.

Yes. To see who's submitted changes through their needs assessment, navigate to your Contacts page, select the Activity tab, then use the Activity filter to select "Updated needs."
Keep in mind that a client can complete the needs assessment with no updates; if nothing on file has changed, they're routed straight to completion. In that case, they won't appear under "Updated needs" even though they did respond. To confirm whether a specific client completed the assessment at all (with or without changes), check their Contact History on their individual profile.

The contact's history shows the needs assessment being sent, started, and completed (plus SOA status). You can also filter the contact list by "sent but not completed" vs. "completed," and turn on email/activity notifications in Communication Preferences so you're alerted without manually checking each record.
